Media and Graphic Timelines and requests

Hey Guys,

I was wondering if anybody could share what timelines (if any) have been established for graphics or media. A lot of our graphics and videos are done at the last minute and the quality and creativity isn’t always at its best due to the time frame. I believe if the graphics and media team had some more time, we could create better looking and better quality media. I do know some projects would still have to be done at the last minute, but but I do believe some of the projects could be done in advance. An example of what I’m talking about would be like if the youth ministry wanted sermon graphics for a new series, they would need to submit a request for them 2 weeks in advance. I’ve seen a timeline from LifeChurch.tv and they require different teams to send requests a certain number of weeks before the deadline with project details. I would love to see if any of yall guys had something like this and if anyone had some request forms they could share that would be awesome!

At our church, we have a creative team the meets every two weeks. The senior pastor chairs it. Production coordinator (our admin guru), Communications, worship leadership (music), AVL (me), drama and graphics creators attend.

We get weekly spreadsheet updates from the coordinator, keeping us all in the loop about where we are with any given project.

We are always trying to work more than three months out. Seriously. Anything inside the three-month window should be items where decisions are already made, and we are just tracking and wrapping up process.

So if I am going to produce a video or series of videos, ideally I know a minimum of three months in advance. That allows for scripting, approval, casting, rehearsal, shooting, rough cut for approval and final cut delivered at least a full week before it is used in service.

It requires us to be much more organized to do it this way. But the results are worth the effort. Everyone comes away from it knowing they have been provided the opportunity and time to do their best.

The time issue just never moves. We all only get 168 hours per week.

Attached is a copy of the consolidated schedule our coordinator uses. He sends it out and updates weekly, so we know where we are on things. The "skideo" column is our own in-house word for drama team skits that are shot and post-produced as videos instead of live on-stage.

We have one we use for MediaShout prep that you could probably adapt. This is posted on the main bulletin board in the church office so that everyone knows when their part happens. I've attached a copy with the church name and logo removed.

I minister in a small church that will never be accused (or convicted) of being an "organized" religion.
I have requested two weeks to prepare media (with a one week minimum).
I still get requests during the worship run through on Sunday morning. Sometimes I find out what's going on when it happens.
I had someone ask me why I can't do something special for baby dedications (I got a weeks notice from the aunt) all the time. My response - because no one tells me there's even going to be a baby dedication - if it needs to be on the screen I'll do my best but when I normally get 2 minutes notice - you get black letters on a white background. If I get advance notice you get a thing of beauty.

I take as much time as I can or as much as budget will allow. Sometimes, that aint much. So be it. Some would rather have drive through than a sit down steak dinner. Sometimes that's all that time allows. Bottom line, it's the best it can possibly be with the restrictions handed down to me every time. Deadlines don't bother me.

I used the timeline and graphic in windows movie maker. There you can adjust the time of graphic or photo according to you.
